For a new employee, onboarding is the first real contact with the company. For HR and payroll teams, it is a marathon of documents, checks and deadlines — with eSocial, medical exams, contracts and policies. When the process is manual, the result is familiar: delays, pending items and a poor first impression.

What digital onboarding is

Digital onboarding means running the entire hiring process electronically: the candidate sends documents from their phone, data is checked, the employment contract and policies are signed electronically and the employee file is archived in an organized, secure way — no paper, travel or repeated data entry.

Brazilian law allows it

Brazilian labor law has evolved to accommodate digital processes. The Digital Work Card was consolidated by the Economic Freedom Law (Law 13.874/2019), and employee records may be kept electronically under Ministry of Labor regulations. Employment contracts, amendments and internal policies can be signed electronically, using the appropriate signature level and preserving evidence.

How a well-designed flow works

  1. Invitation: the approved candidate receives a link by email or WhatsApp.
  2. Document submission: photos of personal documents, proofs and personal data are submitted in a guided journey.
  3. Validation: automated rules and specialized review check legibility, validity and consistency — with liveness detection when identity must be confirmed.
  4. Pending items: illegible or missing documents are requested automatically, with reminders.
  5. Signature: contract, agreements and policies are signed electronically.
  6. Integration and archiving: data flows to payroll and eSocial, and the file is stored with access control and a retention period.
